To write off unsalable books and remove them from your inventory, you need to use the "Write Off" offset account and the BookLink Inventory Count system.
You can do your count from a handheld and import it into BookLink for writing off, or you can manually enter the information in BookLink directly.
The offset account for writing off books as unsalable is 5007-NNN-0000 with "NNN" being your District number (with Region where appropriate).
Codes
In short, you create an inventory count with the ISBNs and quantities in BookLink's Inventory Counts screen, enter the write off Account number for that count, and post it.
For the example below, we will use a handheld to scan and count two titles, then write them off in BookLink.
In BookLink Mobile, open District/Physical Inventory
Go to Physical Inventory
Create a new compartment for your count.
This can be any number, but you may wish to put something like "unsaleable" in the description for easy reference later.
Scan the titles you are writing off and enter the counts
Use the REMOVE button, not the ADD button
Once you have the counts in, go to Data Transfer, check the box for District/Physical Inventory Data, and poke the Transfer Data button.
Import the HH file in BookLink, then go to Inventory Counts.
Select the Count you just made and click the Edit button
Enter the correct offset account number (5007-NNN-0000) and click the Save button
When you post this inventory count you will write off the counted books as unsalable and remove them from your district inventory.
NOTE: BookLink should show a negative number under QTY (see images above) before you post.
NOTE: If you are only writing off a couple of titles, it may be easier to skip the handheld and create and add your count right in the BookLink Inventory Count screen above.
