Physical Inventory at Year End is done by double counting all of the product in the warehouses and vans.
Everything is counted twice, and whenever possible, by two different people.
The product is divided into logical "compartments." Generally compartments are labeled with masking tape, printed labels/signs, etc.
The first count is done on the Handheld, then the compartment report is printed to an invoice printer/van printer and hand counted with the numbers being written on the printout.
If the counts don't match, a third count is done to confirm the real number. If adjustments are needed to the printout the adjustments are made on the HH and a new compartment report printed.
Once a good count is completed, the compartment report stays in the compartment until the end of the inventory process.
If auditors are visiting your district/location, the reports must stay in the compartment until the auditors have signed off.
Using the HH to Count
Step One
Open BookLink Mobile, poke District/Physical Inventory, and then Physical Inventory
Step Two
Poke the New Compartment button in the bottom left of the screen
Step Three
- Enter the compartment number you are about to count.
- You can also enter a description if helpful/desired.
- Poke the OK button to proceed to counting.
Step Four
- Scan a book
- enter the quantity you have in the compartment (using the keypad)
- poke the add button
Do this for all the books in the compartment.
Step Five
You can adjust the quantity of an item by either scanning it again to pull it up, or poking it in the list of titles you've counted.
If you are adding more books to your count in the compartment:
- enter the number to add to the count and poke Add
If you need to adjust the quantity down:
- enter the number to subtract and poke Remove.
The current quantity is listed above the Remove button
Step Six
When you have counted all the books in the compartment with your HH,
you are ready to print the compartment list to use for the hand re-count.
Poke the Tools button at the bottom of the screen and poke Print List.
You need to be near your van printer (or paired to one nearby) to print this list.
Step Seven
When all the second count is done, make sure the handheld has any corrections you've made based on your second/third counts. Reprint any corrected counts so the compartment list has the correct numbers.
Unload the counts from your HH via Data Transfer.
- On the Main Screen of BookLink Mobile, poke the Data Transfer button
- On the Data Transfer screen check only the box for District / Physical Inventory
- Poke the Transfer Data button
You may import the counts into BookLink but DO NOT POST THE COUNTS.
